Agreement
By agreeing to this Expression of Interest you acknowledge you have the authority to do so, and that you have also read, understood and agree to abide by the ‘Terms and Conditions’ and any other condition described in this Expression of Interest Form. Further, you agree to absolve, hold harmless and indemnify Ipswich Fresh Futures Market, from any claims, actions, suits or demands from any incident, accident, injury or damage to any person, property or other caused or alleged to have been caused or sustained from our activity or the use of any equipment or property associated with your activity.
Terms and Conditions
- Only Expressions of Interest that are fully complete (including relevant attachments), and received by Ipswich Fresh Futures can/will be considered.
- Early bird rates and dates are final and only apply to complete Expressions of Interest as per Point 1.
- Submission of a Stallholder Expression of Interest is not a guarantee of acceptance. IFF Market Planning Committee decisions are final. IFF Market Planning Committee will notify Organisations who have submitted an ‘approved’ Expression of Interest and provide payment details. An EOI is not seen as ‘accepted’ until full payment is received within the prescribed time frame.
- Any cancellation must be in writing to the email address provided in the ‘Cancellations’ section below.
- Stallholders must be present and their stall fully operational for the full duration (as advertised) of the event.
- Allocation of sites is at the sole discretion of the IFF Market Planning Committee.
- Bump-in is the day before. This is not negotiable due to safety reasons. If you cannot bump-in the day before you will NOT be able to do it on the day no matter how early you get there.
- All sites are to be functional at least one hour prior to the operational start time.
- Dismantling of the site may only occur AFTER the operation time has ceased.
- The allocated site is to be used solely for the purpose specified herein. No subletting will be permitted without the prior written permission of Ipswich Fresh Futures.
- Ipswich Fresh Futures have the power to enter any site and remove any article, sign, picture or printed matter or stop any undue noise created by a stallholder, which, in the opinion of the IFF Market Planning Committee may cause offence or distress to the public, delegates or other stallholders.
- All stallholder sites are to be kept clean and tidy at all times during the event. Stallholders shall leave their allocated site in a clean and tidy state, removing any little spills, by-products or equipment from their activities. Should the site require further cleaning or removal of equipment at the conclusion of the event, this expense will be passed on to the stallholder.
- All electrical leads and equipment must be tagged and tested within 12 months of the event date and must have current tags showing at all times. Any lead that does not have an up to date tag may be removed by the event organizers on the day of operation.
- Any/all items that could potentially pose a hazard must be addressed by the stallholder to mitigate any risk, including potential trip hazards.
- Warning signs are to be posted on all hazards by the stallholder.
- Stallholders must ensure they and their equipment remains within their allocated stallholder space. IFF Market planning Committee reserves the right to remove any item which protrudes outside a stallholders allocated site boundary.
- Only equipment, resources or material approved by IFF Committee and the Venue can be brought into the venue. Any/all equipment, resources or materials brought in without prior approval WILL be removed.
- All walkways, entry and exit points, including emergency and fire exits must remain unobstructed at all times.
- Stallholders have a responsibility to make themselves, and their staff aware of any/all emergency procedures for the event, including the location of first aid.
- Any incidents of loss, damage or injury must be reported to the event organizers.
- Stallholders are responsible for ensuring they and their staff comply with all State regulations with regard to working with children. Further information can be obtained by visiting www.bluecard.qld.gov.au or by calling 1800 113 611.
- All equipment brought into the event is the sole responsibility of the stallholder including signage, lighting, extensions cords, and tables and chairs unless otherwise stated in the confirmation letter.
- Ipswich Fresh Futures, its volunteers, representatives or agents shall not be held liable for any loss or damage to stallholder property while at any site, or in transit to/from the event irrespective of cause.
- Ipswich Fresh Futures Market Planning Committee reserves the right to cancel any approved Expression of Interest, and retain any monies paid in relation to the Expression of Interest, if in the opinion of Ipswich Fresh Futures there is, any infringement of these Terms and Conditions and/or if the stallholder does not occupy their allocated site at the commencement of and for the full duration of the event.
- By agreeing to this form, you authorise Ipswich Fresh Futures to use any photography and/or videotaping taken of your site, including images of your products and staff, for any publicity purposes including publications, promotional flyers, news articles, websites, newsletters and magazines.
Privacy Notice
Ipswich Fresh Futures may collect your personal information; in order to conduct its business and/or meet its statutory obligations. Your information will also be released as required and/or authorised by law.
Cancellations
Any cancellation must be in writing, via email to shelley@mpoweryou.com.au
Cancellations received more than 90 days prior to the event 100% refund
Cancellations received between 90 and 30 days prior to the event 50% refund
Cancellations received 30 days or less from the event No refund
Agreement
By completing and returning this Stallholder Expression of Interest Form, you confirm that you have read, understood and agreed to abide by the Terms and Conditions listed above, and any other conditions laid out in this document.
You agree to bump-in the day before the event as stated in item 7 of the terms and conditions. There will be no exceptions to this. Last minute items such as laptops and valuable items may be bought in on the day but final setup should be completed an hour before the event start time.
You agree to absolve, hold harmless and indemnify Ipswich Fresh Futures Market, its volunteers, representatives or agents from any claims, actions, suits or demands from any incident, accident, injury or damage to any person, property or other caused or alleged to have been caused or sustained from our activity or the use of any equipment or property associated with your activity.
You also agree to allow Fresh Futures to photograph or video your stall on the day. This may include videotaping taken of your site, including images of your products and staff, for any publicity purposes including publications, promotional flyers, news articles, websites, newsletters, and magazines
